Job Summary
We are seeking a highly organized and proactive Project & Operations Coordinator to support cross-functional projects, operational workflows, business analysis activities, and administrative coordination within a fast-paced healthcare environment. This role is ideal for someone who is detail-oriented, adaptable, analytical, and capable of managing multiple responsibilities simultaneously. The candidate will work closely with leadership to support project execution, operational improvements, process tracking, reporting, client/vendor communication, and coordination across teams. This is a full-time position with working hours from 10:00 AM to 6:00 PM.
Responsibilities
- Supporting the Project Manager throughout all phases of the project lifecycle, including initiation, planning, execution, monitoring, and project closure
- Assisting in developing and standardizing project management methodologies, templates, documentation, and governance processes across the organization
- Helping maintain project portfolios, risk logs, issue trackers, and action registers
- Monitoring project milestones, risks, dependencies, and deliverables, escalating issues when appropriate
- Conducting extensive market, operational, and business research to support strategic initiatives and decision-making
- Gathering, validating, and organizing quantitative and qualitative business data from multiple sources
- Analyzing workflows, KPIs, productivity metrics, and operational performance to identify trends and opportunities
- Researching industry best practices, competitors, and emerging technologies to support continuous improvement initiatives
- Preparing reports, dashboards, presentations, and recommendations based on research findings
- Supporting process optimization, system improvements, and business transformation initiatives
- Supporting follow-up on leads, partnerships, and external opportunities
- Assisting in preparing proposals, presentations, and meeting materials
- Maintaining organized records of outreach and communications
- Helping monitor workflows and operational performance
- Identifying bottlenecks and suggesting process improvements
- Assisting in developing SOPs, trackers, and internal documentation
- Supporting reporting and data organization for management review
- Assisting leadership with scheduling, coordination, and follow-ups
- Communicating with vendors, partners, and external stakeholders when needed
- Supporting internal team coordination and task management
- Assisting with preparing professional documents, emails, and presentations
Requirements & Qualifications
- Bachelor's degree in Business Administration, Healthcare Administration, Operations Management, or a related field preferred
- 2–3 years of relevant professional experience
- CAPM, PMP, or other project management certification is an advantage
- Strong organizational skills with the ability to effectively manage multiple tasks and priorities
- Excellent written and verbal communication skills
- Strong analytical, critical thinking, and problem-solving abilities
- Ability to thrive in a fast-paced, dynamic environment while managing competing priorities
- Proficiency in Microsoft Office Suite and Google Workspace
- Experience with project management platforms such as ClickUp, Asana, Trello, or similar tools is considered an asset
